Job Description

Responsibilities

1. Facilitate Office Communication and Coordination:

  • Responsible for the proactive management of the Chief Operations Officer Schedule
  • Providing support in streamlining processes for the office i.e. To ensure smooth
  • communication and coordination with all Academic and Administrative departments
  • of the University
  • To exercise a high degree of initiative and judgment on a wide range of issues.
  • Correspondence-scrutinizing and effective handling of all incoming/outgoing mails,
  • enquiries in person or by telephone, responding speedily and with sound judgment
  • where necessary
  • Handling and following up on queries/complaints/requests
  • Arranging local and international travel of COO, reimbursements etc
  • Performing activities relating to communication and coordination (within LUMS and
  • externally), including typing various documents such as e-mails, announcements,
  • meeting minutes, reports, etc
  • Assist in planning and coordinating various activities at the office
  • Interacting with faculty/staff/students for providing/gathering information

2. Performing critical record-keeping activities:

  • Maintaining Office files in an organized manner/system
  • Keeping record of different committees and disseminating correct information
  • Generating various reports as and when requested

3. Other:

  • Ensuring timely delivery of office supplies
  • Responsible for ensuring the maintenance/ general upkeep of office
  • Ability to handle office equipment

Skills and Attributes:

  • Excellent written and verbal communication skills (Highly Proficient in English Language)
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook
  • Time management and organizational skills (ability to prioritize tasks)
  • Strong Ability to multi-task
  • Focus on process improvement
  • Perform well under stress
  • Expected to show high level of integrity and confidentiality

Requirements

  • Bachelors/Masters degree from an HEC recognized university.
  • Experience in coordination and support role is a must.
  • Possesses reasonable knowledge of the University/education sector
